1. Is it possible to read data from paper invoices and how does it work?

Answer: It is possible to read data from non-digital documents, e.g. invoices, before the robot. This technology is called OCR (Optical Character Recognition). Thanks to it, the robot gains the ability to convert photos of invoices, scans, etc. into character codes that will be understandable and possible for analysis.

2. Do robot and macro mean the same?

Answer: A robot is definitely more than a macro, so we cannot use these terms interchangeably. Digital Teammates map human work in various IT systems, and the macro is limited to Excel and applications closely integrated with it.

3. Who is responsible for the mistakes made by the robot?

Answer: Robots make mistakes very rarely and in very exceptional circumstances. If this happens, the ultimate responsibility for the correctness of the process rests with the owner of the process, as in the case of human error. The most important difference is that the robots go through a very rigorous testing process, eliminating conceptual errors. Other mistakes, e.g. resulting from fatigue or routines, are never committed by robots.

4. Which processes should start with robotization in accounting departments?

Answer: An excellent starting point for the automation of the accounting department in your company will be: sales and purchase invoices, bank statements, payment comparison, verification of contractors on the white list.

5. Which processes should start with robotization in logistics departments?

Answer: We propose to start with the processes of checking the inventory, verifying the shipment status, issuing documentation for foreign markets, or creating a delivery note.

6. Which processes should start with robotization in operational departments?

Answer: In operational departments, we recommend starting with: generating documents for clients, submitting applications, as well as verifying and sending certificates.

7. Which processes should start with robotization in sales departments?

Answer: An excellent starting point for the automation of the sales department will be: generating sales forecasts and reports, order fulfillment in the ERP system, servicing serial orders.

8. Which processes should start with robotization in customer service departments?

Answer: We propose to start with the processes of submitting applications for contract termination, verification of insurance policies and sending GIRO checks.

9. Which processes should start with robotization in HR departments?

Answer: We recommend starting the robotization process in Human Resources departments with processes based on the introduction of employee delegation to systems and their accounting.

10. Why is it worth renting robots?

Answer: Choosing a robot means not only saving time and resources, but also increasing the quality of work. By assigning repetitive and boring tasks to robots and minimizing errors in the company, productivity increases, and employees gain time to engage in projects that require creative and critical thinking, decision-making, as well as direct customer service. We also observe an increase in customer satisfaction, and on the part of employees – motivation.

11. What is the process of employing a robot in the company?

Answer:

  1. Determine the needs for which automation is to respond.
  2. Find processes that may qualify for automation.
  3. Involve the team in searching for the process and preparing descriptions.
  4. Analyze selected processes and assess their potential with developers.
  5. Plan what the team’s work will look like after the implementation.
  6. Select the robot deployment model.

12. Is robotization a solution only for large companies?

Answer: Robotization is the answer to tedious and repetitive tasks, regardless of the size of the company. Its aim is, for example, independence from the occurrence of seasonal volume fluctuations. If there are standardized processes with robotic potential in smaller companies, they can be automated regardless of the size of the company, especially if we implement them in the robot rental model, where there is no need to invest in own robotic competences.
